Conference Facilitation with Thematic Contextualization

Facilitating a conference, a webinar, or an event is primarily about ensuring that the key messages are well perceived, understood, and at least partially retained by the audience. To achieve this, a few simple rules are necessary. 1- A common theme providing real added value, materialized by concrete passages and sharing of lived experiences. Too often, both internal and external events serve mainly as showcases for the speakers or the organizer without sufficiently considering the expectations and perceptions of the audience. The multiplication of online events during the lockdown has further reinforced this dimension. The best way to stand out is to provide expert content with high added value that can anchor itself in the daily reality of those who participate. 2- An effective format that favors short responses, around themed sequences. A format of 30 to 45 minutes for a conference remains a maximum. It can extend to 1 hour and 30 minutes for a plenary session with many segments. Beyond that, it is necessary to vary the formats, plan for participation and co-construction times. Similarly, a response should be a maximum of 1 minute and 30 seconds. Beyond that, attention drops quickly... 3- Prepared and reassured speakers, comfortable delivering their expertise and insight. Outside of professional speakers, very few subject matter experts have been media-trained over time... and that's normal. An intervention must therefore be prepared in advance, with the facilitator who will ensure the format but also serve as a safety net to prompt in case of silence and ensure that all key messages have been addressed. 4- A master of ceremonies who is an expert in their subject, able to frame and recontextualize the speeches and react in real-time to audience interactions. With over 1000 interviews and more than 80 seminars or conferences designed and/or facilitated, I have certainly gained expertise in the facilitation exercise. Beyond that, my knowledge of topics such as digital transformation, management, and sustainable development allows me to save time for speakers in the preparation phase (I already know the subject), to bounce back and propose different angles based on expectations (I know the trends and current topics and can enrich the exchange with key figures), and to make connections with the "real life" of companies (I have been in the decision-makers' shoes). Experience and expertise, the best of both worlds at your service!
